Automating VIN Data Collection for Automotive Market Leaders

  • Customer

    Leaders of automotive market (NDA)

  • Objectives
    • Automate the process of gathering vehicle information based on VIN numbers.
    • Develop a solution that collects data from multiple external sources, visualizes it in a user-friendly format, and efficiently integrates the information into the client’s internal systems.
  • Solution

Creation of an automated system for parsing and aggregating information from diverse resources.

  • Timeline

    2 months (2024)

  • Key Project Tasks

    1

Develop functionality for VIN-based data collection from external systems

Create a system capable of requesting and receiving data from multiple external sources in parallel, ensuring proper handling of data nuances for each source.

    2

    Build a damage visualization system

Develop schematic car images that display damages on body parts, enabling quick and clear assessment of a vehicle’s condition.

    3

    Generate final reports

Automate the process of creating comprehensive xlsx reports containing full information for each VIN number.

    4

Integrate with the client’s internal systems

Implement automated report delivery to the client’s server and corporate website, while synchronizing VIN data retrieval and report generation with existing client systems.

  • Collecting Data
    by VIN

To address the client’s needs, we developed a complex software suite capable of working with three key external resources:

Vehicle registration data, accident history, wanted vehicle status, and technical inspection records

Automotive lien information, including details of lienholders, lien providers, and a full history of changes

Electronic vehicle passport status, customs restrictions, and other parameters related to vehicle registration

  • Damage Visualization System

One of the primary requirements was to create a damage visualization scheme based on data received from an external source. Our dynamic visualization system includes:

    1

    SVG-based vehicle diagrams

For each vehicle model and configuration, a base schematic image is generated.

    2

    Damage rendering

The system automatically marks damaged parts on the vehicle diagram, coloring the affected areas accordingly. This approach offers a fast and clear way to evaluate a vehicle’s post-accident condition.

    3

    Integration into final reports

The visualized data is embedded within the final xlsx report for ease of reference and further use.

  • Generating
    Final Reports

A key project deliverable was a report that consolidates all collected data into a single document.

    1

    Creating an xlsx report

The final report in xlsx format is generated using data pulled from external resources. Each report includes full information for each VIN, along with damage visualization.

    2

    Handling repeated requests

The service is configured to re-request missing data up to three times. If data remains incomplete after three attempts, the report is generated based on what’s available.

    3

    Prioritizing reports

Special attention is given to VINs submitted via the client’s website. These VINs are processed first, ensuring minimal delays in report delivery.

  • Integration with
    Internal Client Systems

For seamless operation, integration with the client’s internal systems was crucial:

    1

    Retrieving VINs

Our service automatically fetches VIN numbers from multiple sources—both from the client’s internal storage and their website.

    2

    Transferring reports

Once generated, reports are automatically uploaded to the client’s server in the designated folder and sent to the client’s website.

    3

    Archiving

After successful report creation, the original VIN files are archived to maintain a complete history of data processing.

  • Results

The developed service allowed our client to optimize their vehicle data processes, reduce costs, and improve overall service quality.

    Before the Automated Parser

    • Entirely manual data processing
    • Long data collection times from various sources
    • No clear visualization of results
    • High labor costs

    After Bot Implementation

    • Automated workflows
    • Faster data processing
    • Enhanced customer service quality
    • Reduced operational expenses

This project showcases our expertise in creating complex, scalable solutions to automate processes in the automotive industry. The client is satisfied with the outcome, and the service is now actively used in their daily operations.
